Job Description

We’re building a fully automated retail and hospitality ecosystem — combining WhatsApp automation, AI-driven stock control, ABSA-integrated payments, facial-recognition attendance, and a tablet-based POS Made Easy™ system into one seamless SaaS platform.

Our POS Made Easy™ solution bridges outsourced stock acquisition and customer orders. From supplier ordering to recipe management and menu setup, we ensure live stock levels and recipe costs are reflected accurately. Retailers interact via WhatsApp and IntelliBot partitions, which deliver operational functions (GRVs, orders, shifts, payments) through guided conversational workflows.

🎯 Role Purpose

Ensure operational accuracy across integrated systems — WhatsApp, IntelliBot, IntelliAcc, ABSA Banking, and POS Made Easy™ — aligning:

  • Supplier orders
  • OCR learning and stock automation
  • Recipe/menu setup
  • POS configuration
  • Task scheduling
  • Supplier payments
  • Shift and clocking oversight
  • Real-time stock movement
  • Financial reporting and monthly management accounts

Goal: Fully automate and validate the journey from supplier to customer billing and financial reporting.

🔧 Core Responsibilities

1. WhatsApp Operational Oversight

  • Monitor IntelliBot submissions and task completion
  • Validate POS settlements vs card transactions
  • Review voids and stock variance alerts
  • Enforce AI-driven stock counting based on risk
  • Confirm supplier invoices and ABSA-linked payments
  • Oversee task scheduling and WhatsApp confirmations

2. IntelliBot OCR & Supplier Mapping

  • Validate OCR accuracy for GRVs
  • Configure supplier layouts and learning criteria
  • Map items to stock, category, and GL codes

3. IntelliAcc Stock Validation & Ordering

  • Confirm POS-linked consumption deductions
  • Validate auto-generated orders
  • Apply risk-based counting and release verified orders

4. Supplier Payments (ABSA Integration)

  • Configure payment terms and banking details
  • Enforce cashless policy via ABSA debit card
  • Monitor transactions and flag exceptions

5. Shift Management & Payroll

  • Guide shift scheduling and wage projections
  • Monitor facial-recognition clock data
  • Correct missed clocks and compare actual vs scheduled hours
  • Maintain leave records via WhatsApp

6. POS Made Easy™ Configuration

  • Configure menu items, recipes, modifiers, and pricing
  • Link recipes to ingredients and stock codes
  • Validate stock deductions and synchronize cost/menu data
  • Ensure end-to-end data flow from supplier to reporting
  • Support setup and provide ongoing oversight

7. Accounting & Financial Reporting

  • Integrate financial data across systems
  • Confirm real-time transaction recording
  • Oversee ledger reconciliation
  • Generate monthly management accounts
  • Analyse performance metrics and provide recommendations

Skills & Qualifications

  • Retail/hospitality operations knowledge
  • POS, recipe, and stock control experience
  • OCR, automation, and banking integration proficiency
  • Basic accounting and financial reporting
  • Strong analytical and Excel/Google Sheets skills
  • Fluent in English and Afrikaans
  • Degree in Industrial Engineering, BCom Accounting, or Business Management
