Job Description
Key Performance Areas (KPAs)
Portfolio Administration
- Administer and manage portfolio professionally per company policies.
- Process and file correspondence, documentation, drawings, reports, and task briefs.
- Handle internal and external communications.
- Compile monthly Technical Services reports and expenditure applications.
- Utilize software for managing building assets, repairs, and maintenance costs.
- Evaluate and recommend contractors for the Approved Contractors list.
- Attend and participate in:
- Property Management, Development Project, and Services Management meetings
- Service Provider liaison sessions
- Internal/external training and seminars
- Apply HR and IR procedures in line with the Labour Relations Act.
- Implement company policies, technical specs, and contract terms.
- Manage national procurement processes and service contract audits.
- Coordinate audits across client portfolios.
- Submit tenders and proposals for new business.
- Oversee documentation handover for new developments/upgrades.
- Manage and file electrical compliance certificates.
- Ensure major expenses align with budget timelines.
- Communicate with Centre Management, Property Managers, Building Staff, and Tenants.
- Ensure contracted services are delivered per agreement.
- Provide reports to Asset Managers and attend monthly portfolio reviews.
- Support Property Services Manager and Building Staff with maintenance issues.
- Assist GM with expense schedules, ops cost schedules, and national rates.
- Monitor staff training, performance, and quality gaps.
Financial Budgeting & Cost Control
- Assist GM with formulation and control of annual R&M budgets (zero-based).
- Update planned maintenance budgets annually.
- Manage:
- Repairs & maintenance expenditures
- Facilities Management cost allocations
- Order and invoice processing
- Evaluate tenders and quotations.
- Apply expenditure and authority limit policies.
- Provide operating cost budgets for new developments.
Technical Support & Service Delivery
- Provide technical support across Letting, Investment, Development, Financial, and Technical meetings.
- Participate in new developments, revamps, inspections, and handovers.
- Liaise daily with customers regarding service requests and plant performance.
- Ensure effective communication and resolution with clients and service providers.
- Maintain fair service provider utilization per company policy.
- Liaise with local authorities and government departments.
Building Asset Maintenance
- Maintain building assets per investment strategy and company benchmarks:
- Mechanical, electrical, civil, and structural components
- Security, fire control, and garden reticulation systems
- Lifts, escalators, and passenger conveyors
- Conduct annual condition audits on triple-net buildings.
- Perform due diligence surveys for internal and external clients.

Qualifications & Experience
- Grade 12 (Matric)
- Diploma or Degree in Property Studies
- 1–3 years’ property management experience
- Proficiency in MS Office and relevant software
- Strong attention to detail and numerical accuracy
